DocCypher (“we”, “our”, “us”) provides a document intelligence platform for businesses. This policy explains what information we collect when you visit our website or use the product, why we collect it, and the choices you have. By using DocCypher you agree to this policy.
1. Information we collect
We collect three categories of information:
- Account information — name, work email, company, role, and authentication credentials you provide when you sign up or are invited to a workspace.
- Customer content — documents, metadata, comments, workflow records, and any text you or your team upload into DocCypher. This content belongs to you.
- Usage and device data — pages viewed, features used, IP address, browser, operating system, and approximate location, collected to keep the service reliable and secure.
2. How we use information
- To deliver, maintain, and improve the DocCypher service.
- To run AI features (summaries, extraction, classification) on the content you submit. We do not use customer content to train shared models.
- To secure the service — detect abuse, prevent fraud, and investigate incidents.
- To communicate with you about your account, product updates, and security alerts.
- To comply with legal obligations and enforce our terms.
3. Legal bases (for users in the EEA / UK)
We process personal data under one or more of the following legal bases: performance of a contract, our legitimate interests in operating and improving the service, your consent (where required, for example for optional analytics cookies), and to comply with legal obligations.
4. Sharing and sub-processors
We do not sell personal data. We share information only with:
- Sub-processors who help us run the service (cloud hosting, AI inference, email delivery, analytics). Each is bound by written data-protection agreements.
- Members of your own workspace, according to the permissions your administrators configure.
- Authorities, when required by law or to protect rights, property, or safety.
- Successors in connection with a merger, acquisition, or sale of assets, subject to the protections in this policy.
5. International transfers
DocCypher operates globally. Where personal data is transferred outside its country of origin, we rely on appropriate safeguards such as Standard Contractual Clauses and equivalent mechanisms.
6. Data retention
We keep customer content for as long as your workspace is active and for a limited period afterwards so it can be restored on request. Account and usage data are retained for the period required to operate the service, meet legal obligations, and resolve disputes. You can request earlier deletion at any time.
7. Security
Customer content is encrypted in transit (TLS 1.2+) and at rest (AES-256). We operate under independently audited information security controls, run continuous vulnerability monitoring, and restrict employee access to customer data on a least-privilege basis. See our security page for more detail.
8. Your rights
Depending on where you live, you may have the right to access, correct, export, restrict, or delete your personal data, and to object to certain processing. You can exercise these rights from inside the product, or by contacting us at legal@doccypher.com. We respond within the timelines required by applicable law.
9. Cookies
We use a small number of cookies to keep you signed in, remember preferences, and (with your consent) understand product usage. You can change your choice any time from the cookie banner shown on your first visit, or by clearing site data in your browser.
10. Children
DocCypher is a workplace product and is not directed to children under 16. We do not knowingly collect personal data from children.
11. Changes to this policy
We will post material changes to this policy on this page and, where appropriate, notify you in-product or by email. The “last updated” date at the top of this page reflects the current version.
